1. Service
ClubOS is a SaaS platform operated by Bytecode Consulting Ltd for sports clubs to manage websites, member administration, payments, content, support requests, and related club operations. Pilot access may be invite-only while we prepare public self-service launch.
2. Accounts and tenant access
Each club is responsible for the users it invites, the accuracy of onboarding details, and the actions taken by its administrators. The platform operator console is restricted to authorised Bytecode or ClubOS operators. ClubOS may suspend access where required to protect tenants, members, payment flows, or the platform.
3. Payments and subscriptions
Platform subscription pricing is shown before signup. Pilot clubs may receive free or discounted access during launch. Member payments, event payments, shop sales, and similar club payments are processed by the club's payment provider account where configured.
4. Subscription cancellation and refunds
A club can cancel its ClubOS subscription at any time through the secure Stripe billing portal. Cancellation takes effect at the end of the current billing period. The club keeps full access to ClubOS until the paid period ends, and no further renewal payment is taken. Annual subscriptions are not automatically refunded; exceptional refund requests are reviewed by support. A scheduled cancellation can be resumed through the billing portal before the effective cancellation date.
These terms do not limit any rights that cannot legally be excluded. Questions about a cancellation or refund request can be sent to admin@cluboss.co.uk.
5. Club content and data
Clubs remain responsible for content, member records, policies, logos, and data they add to ClubOS. We may process that data only to provide, secure, support, and improve the service, subject to the privacy policy and any agreed data-processing terms.
6. Acceptable use
Clubs must not use ClubOS to process unlawful content, attempt to bypass access controls, interfere with other tenants, or misuse platform support features. Tenant isolation, audit logging, and security controls are part of the service and must not be disabled or worked around.
7. Support and changes
During launch, support is handled directly by Bytecode Consulting. We may update these terms as the product moves from pilot to public self-service; material changes will be communicated to affected club administrators.
